Sunbridge Road Mission is committed to protecting personal data and respecting the rights of our data subjects; the people whose personal data we collect and use. We value the personal information entrusted to us and we respect that trust, by complying with all relevant laws, and adopting good practice.

We process personal data to help us:

  • maintain our list of church members and regular attenders;
  • provide pastoral support for members and others connected with our church;
  • provide services to the community;
  • safeguard children, young people and adults at risk;
  • recruit, support and manage staff and volunteers;
  • maintain our accounts and records;
  • respond effectively to enquirers and handle any complaints

Your personal data – what is it? 

Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).

How do we process your personal data?

The Trustees of Sunbridge Road Mission complies with its obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

We use your personal data for the following purposes: –

  • To enable us to provide a voluntary service for the benefit of the public within ministry;
  • To administer members of the church family and guests records;
  • To fundraise and promote the interests of the Church;
  • To manage our employees and volunteers;
  • To maintain our own accounts and records (including the processing of gift aid applications);
  • To inform you of news, events, activities and services running at Sunbridge Road Mission.

Who we share your personal data with

We are required to share your data with third parties where we have a legal obligation to do so. We may also share information with our partner organisations with whom we have a Data Sharing Agreement, or as set out below.

The persons/organisations we may share your special category and criminal offence data with are:

  • Our charity trustees, elders employees, contractors and volunteers on a need-to-know basis;
  • Churches and other appointing or employing bodies as appropriate
  • Counsellors, professional supervisors and risk assessment consultants
  • The Police and Social Services, Local Authority Designated Officers and other statutory agencies
  • The Disclosure and Barring Service and our DBS Checking Company

Before we share any information with any of the above persons or organisations careful consideration will be given to the rights and freedoms of the data subject against what is needed to be shared to achieve our overarching goal of safeguarding children, young people and adults at risk from harm within Sunbridge Road Mission and to support and promote exemplary ministry. Special category and criminal offence data is only disclosed where it is reasonably necessary to do so and a record and full details of any disclosure to third parties is kept.

Automated decision making

Sunbridge Road Mission undertakes no automated decision making in relation to your personal data.

How we keep your data secure and how long we keep it for

Sunbridge Road Mission deploys a range of technical and organisational measures to protect the personal data it holds and processes. Controls include but are not limited to:

  • Annual data protection training for all staff and part of the induction for new staff
  • ‘Computer Security in the Workplace’ training for all staff and part of the induction for new staff
  • Acceptable use of IT equipment and systems defined in the IT General Policy provided to all users of Sunbridge Road Mission systems.
  • Sunbridge Road Mission stores your data on Church management software called Churchsuite.
  • Where needed, appropriate redaction takes place before witness statements, case notes or investigation reports are shared.
  • Robust procedures for the reporting of any data or potential data breaches 

These measures are under constant review by Sunbridge Road Mission.

Sunbridge Road Mission keeps data in accordance with the guidance. We retain gift aid declarations and associated paperwork for up to 6 years after the calendar year to which they relate; and church registers (baptisms, marriages, funerals) permanently.

Your rights in relation to the data we hold

Data protection legislation provides you with a number of rights relating to your personal data, including your special category and criminal conviction etc data. These rights are subject to some specific exemptions. Your rights may include:

  • the right to access your data
  • the right to have your data corrected if it is wrong or incomplete
  • the right to request restrictions to the processing of your data
  • the right to object to your data being processed
  • the right to have your data erased
  • the right to be informed about how your data is processed
  • rights relating to automated decision making and data portability

Use of cookies

How cookies are used on Sunbridge Road Mission?

Sunbridge Road Mission uses ANONYMISED cookies to track your preferences regarding our site’s features, including the ticket systen and the “remember me” login feature. We also use cookies to authenticate you to members-only features. If you block Sunbridge Road Mission’s cookies you may not be able to use our members-only features as a consequence. Moreover, in order to ensure your security, Sunbridge Road Mission pages perform so-called “token checks”, making it impossible for automated software (“bots”) to send unsolicited messages (“spam”) to our services. In order to do so, we have to send your browser a cookie. If you opt out of this site’s cookie, then our services shall not work properly. This is a technical limitation which can not be overcome.

Third-party cookies. Sunbridge Road Mission employs the services of third-party services and content provides. Most notably we use Google Analytics to track website usage. Each of these services sets its own cookies. Sunbridge Road Mission doesn’t have direct access to those cookies and the use of those third-part cookies is governed solely by the respective service/content provider’s Privacy Statement. GDPR Consent & Your rights

When you use our contact form we collect and store your details in order for us to reply to your inquiry. We might keep your information for a period of up to one calendar year. As per the GDP regulation you have the right to ask for a copy of any info we keep OR to ask for a complete removal of your information. To do so, simply send an email and describe your request (please allow a period of 30 calendar days for us to proceed your request).
